Inherited system

An inherited workflow with established handoffs, decisions, tools and human review. AI could make individual tasks faster without changing the shape of the work around them.

Constraint

Current-employer specifics and internal designs are intentionally excluded. The transferable logic has been reconstructed without proprietary names, metrics or stakeholder information.

Failure mode

AI was at risk of being layered onto the inherited workflow before anyone questioned whether the workflow, its handoffs or its approval habits still made sense.

Decision

Understand the existing work first. Identify unnecessary steps and decisions, simplify, redesign ownership and handoffs, then determine which decisions need humans before inserting AI.

Redesign

AI is placed where it changes the economics or quality of the work. Human-in-the-loop decisions, escalation paths and governance are designed into the flow rather than added as a policy afterthought.

Trade-off

The system may automate less initially. The first objective is better system design, not maximum automation coverage.
